Some documents translated into (or from) a foreign language require certification. What does it consist in? A sworn translator confirms that a translation done by him/her personally or by someone else, and then revised (certified) by the sworn translator, is a true and accurate rendition of the original document presented to the translator. Such a procedure may be required for official contracts, notary’s deeds, insurance and bank documents, certificates from the registry office, medical documentation or documents filed with public authorities.
Certified (or sworn) translation is subject to a number of statutory requirements: the translator must be included in the list maintained by the Ministry of Justice and registered under a unique number. He or she must keep a detailed log of translations, carefully examine all source documents, personally sign and stamp each page of the target document, consent to each copy being made… In short, it is a complex process which takes much more time than ordinary translation.
However, the certification procedure can be streamlined with the Qualified Electronic Signature (QES).
With the new technology—instead of hundreds of pages that need printing, signing, stamping and delivering (often to another city or country)—an appropriately structured and secured file is simply sent to the customer electronically.
Documents certified with the QES have the same legal validity as documents with the stamp and signature of a sworn translator. All information about the certificates, their expiry dates and the certifying entity is provided in the translated PDF file, and the certificates are verified online. The files are prepared so that only the author can modify their contents.
In addition, it is the translation provider’s responsibility to have the entire QES infrastructure in place. No additional effort or outlay is required from the customer, even if his/her company has never used the electronic signature before.
